FAQ - Sitex

Sitex (which stands for Système intégré de transfert d’examens, or integrated exam submission system) is a Web application that enables students to submit exam files to their teachers. Because it’s a Web application, students do not need to install anything on their computer.

Sitex is used for more than just submitting exams. It is also used for :

  • automatically printing out students’ answers (paper correction)
  • archiving and consulting students’ final exams (electronic correction)

Paper correction

Files submitted by students through Sitex are printed by the Office of the Registrar and given to the grader. Only electronic files with the following file extensions can be printed by the Office of the Registrar:

Word : doc, docx, dot, dotx, DOC, DOCX, DOT, DOTX, txt
Adobe : pdf, PDF

Electronic correction

Files submitted by students through Sitex are sent by electronic means to the corrector, who then carries out the correction electronically. All the types of files are accepted..

Paper correction

Except in the case of take-home exams (for more information, refer to the section dedicated to take-home exams), electronic files are printed out by the Office of the Registrar. Printed exams are available two (2) business days after the exam; the correction time is adjusted accordingly.

Eletronic correction

The teacher receives an e-mail message from Sitex immediately after the exam. The correction is carried out directly on screen. An on-screen correction can be done, for example, by clicking an icon to underline text or by inserting comments. This correction method is convenient, especially when the student uses a Microsoft Office Suite program or when the correction is carried out using a tablet PC and a light pen.

+  What's the difference between a notebook and an attachment?

The difference matters only for paper corrections, as only electronic files with the extensions listed below can be printed by the Office of the Registrar:

  • Word : doc, docx, dot, dotx, DOC, DOCX, DOT, DOTX, txt
  • Adobe : pdf, PDF

The application recognizes all other file types as electronic attachments, which teachers download via Sitex.

In the case of electronic corrections, the attachment concept is moot, as no files are printed by the Office of the Registrar.

Example: In the case of corrections of an exam on paper, students are required to submit a Word file for printing by the Office of the Registrar, along with an Excel file containing details of their calculations. The Word file is considered to be an “electronic notebook,” and the Excel file, an “attachment”; only the Word file will be printed. The Excel file will be available electronically.

+  Is it possible to determine how many files a student has submitted and at what time?

Yes, Sitex sends a report containing all this information to the corrector.

+  Additional details

Sitex generates a submission report listing the students who have submitted files, the time they were submitted, the confirmation code generated by Sitex (only for exams written at HEC Montréal) and the students who have not submitted a file electronically.

This report is available in French only.

Paper correction

This report is printed and placed in the exam folder.

Electronic correction

This report is included in the ZIP file that the corrector has to download.

+  What do students need to know?

+  Saving a file

Each student is responsible for the files he or she submits:

  • Naming files (name, course code, section)
  • Formatting for proper printing
  • Accepted file format and size limitations

A student who submits the wrong file(s) could receive a failing grade on an exam due to the error.

Suggested method

Just as students submit their completed exams before leaving the examination room, students are responsible for all exam-related documents they submit through Sitex.

Submitting the wrong file could therefore lead to a failing grade on the exam. Files must be properly named and be formatted in such a way as to be printable in their entirety, as they will not be opened prior to being printed.

Additional details :

  • For each exam, create a new folder on your computer’s Desktop and place in that folder only the files to be submitted through Sitex.
  • In the header of each file, specify your name, student number, course code and section number.
  • In each file’s NAME, specify your name, course code and section number.
    Example: 2-100-00A_A01_JTremblay.doc
  • Under File | Page Setup…, select Letter size on the Paper tab.

+  Submitting a file through Sitex

Follow the instructions included on the exam questionnaire, as well as those provided by the Sitex application.

 

Once a file has been submitted successfully, a confirmation number will appear on the screen. In the case of an exam written at HEC Montréal, students must print this number on the cover page of their questionnaire.
 
Moreover, Sitex automatically sends a confirmation message to the student’s HEC Montréal e mail address; attached to the message will be the file(s) submitted through Sitex. Students must keep this e-mail message until their grades are posted.

+  Description of the Sitex screens

Note: Precise instructions and the Sitex URL are always included on the exam questionnaire.

Go to www.hec.ca/sitex (click on English version)

  • Follow the instructions on the screen (make sure to choose the right folder number).
  • Select the file(s) to transfer and click the Transfer button.

For an exam written at HEC Montréal, the following screen will be displayed. It contains a confirmation number you must print on your questionnaire’s cover page.

  • Write the confirmation number provided by Sitex on the cover page of your exam questionnaire and submit it to the invigilator.
    This number is used to validate the submission. Students are encouraged to take note of this number for subsequent validations.
  • Save the exam answers file to your computer, but do not open it until you receive your grade.

 

For a take-home exam, the following screen will be displayed. No confirmation number will be shown..

+  When can students submit an exam file through Sitex?

Students are free to submit their exam file as soon as they have finished writing the exam.

+  What happens if a student's computer doesn't work?

Students whose computer freezes or crashes must ask the invigilator for help.

+  Additional details

In all exams where computers are allowed, students whose computer freezes or crashes must speak with the invigilator, who will do everything possible to lend them one of the school’s computers or allow the students to continue the exam on paper.

If the problem is linked to the file submission process, the invigilator will have students submit the file from the exam room computer or, failing that, will ask them to submit their exam on the invigilation team’s USB key. Exams submitted this way will then be printed and placed in the exam folder.

Note that all technical incidents occurring during an exam, if not resolved, will be subject to an anomaly report that will be transferred to the appropriate program office.

+  Accepted file format and size limitations

Sitex accepts all PC and Mac file formats. The maximum file size is 5 MB.

Sitex accepts all PC and Mac file types, but only files listed below can be printed by the Office of the Registrar.
Word (doc, docx, dot, dotx, DOC, DOCX, DOT or DOTX extensions) 
Acrobat (pdf or PDF extensions), text (txt or TXT extensions) 

+  Viewing corrected exams - When and How?

Paper correction

The teacher returns corrected exams to students in class.

Electronic correction

The teacher submits corrected exams via Sitex: each student then receives an e-mail message containing a link to a Web page from which the corrected exam can be downloaded..

+  Final

Paper correction

Students must make an appointment through HEC en ligne to review a copy of their final exam, once grades are posted on HEC en ligne, within the exam review period stated in the academic calendar.

Electronic correction

Once grades are posted on HEC en ligne, and within the exam review period specified in the academic calendar, Sitex sends each student an e-mail message containing a link to a Web page from which he or she can download a copy of the corrected exam

+  Why some students may not be receiving messages sent by Sitex ?

After double-checking their HEC Montréal inbox, students may send a message to registraire.sitex@hec.ca to find out.

Promptly inform your secretary, who must complete the form entitled Renseignements et modalités pour examen in HEC en ligne, depending on the type of exam and the type of correction requested.

    • and select the correction PAPIER (PAPER correction) checkbox

  • Write to registraire.examen@hec.ca if the exam schedule does not already contain the additional 10-minute period needed for sending files at the end of the exam. The additional time must be added as follows:

    Exam time bracket

    Morning exam - weekdays and weekendsbefore the exam start time

+  Collecting files printed by the Office of the Registrar

Students’ printed answers are available at the Office of the Registrar two (2) business days after the exam. The period during which to return the corrected exams is adjusted accordingly and extended to 12 business days after the exam.

+  Additional details

If a student fails to specify his or her name in the file header, the document becomes difficult to identify once printed. As such, when an exam is submitted through Sitex, the application generates a “separator” before each exam file. This document contains the following information:

  • Student’s name
  • Course folder number
  • Exam date
  • Examination room
  • The submission confirmation code sent to the student by Sitex
  • Name of the file submitted by the student
  • The number of files submitted by the student

    An example of this separator is given below.

+  Returning corrected mid-term exams to students

Return corrected exams directly to students in class.

+  Returning corrected final exams to the Office of the Registrar

Submit corrected final exams to the Office of the Registrar so that students may view them if they wish.

+  When and how students can view their final exams

Students can view their corrected exams during the final exam viewing period specified in the academic calendar.

  • Students must book an appointment through HEC en ligne
  • Their final course grade must be available in HEC en ligne
  • Their teacher needs to have submitted the corrected exams to the Office of the Registrar.

+  Method 1: E-mail message generated automatically by Sitex

Following an exam, you will automatically receive a message at your HEC Montréal e-mail address, which contains a number of URLs.

+  Additional details

  • Click the appropriate URL. The Web browser will open the Sitex login page.
    After typing your ID number and password (the same ones you use to log in to HEC en ligne), click Ouverture de session (Authentication).
  • A download window then appears; click Enregistrer (Save) to download the Zip file to your computer.

  • Choose where to save the Zip file, change its name if you wish, and click Enregistrer (Save).

+  Methode 2 : Opening a Sitex session

In the event that you lose an e-mail message generated automatically by Sitex, or in the case of a take-home exam, use the following procedure.

  • Go to www.hec.ca/sitex (click on English version) The Web browser will open the Authentication page.  


    After typing your ID number and password (the same ones you use to log in to HEC en ligne), click Ouverture de la session (Start Session).
  • Select the term, followed by the appropriate course code.
  • c) Next, click the Télécharger (Download)  link opposite the exam (or the exam section) to be downloaded.
  • A download window appears; teachers the click Enregistrer (Save) to download th e Zip file to their computer.

+  What do Zip files contain?

Each Zip file contains, in the following order: the Sitex submission report and, for each student, the file(s) submitted, each preceded by their separator file(s).

+  Additional details

The Sitex report lists the students who have submitted files, when the files were submitted, the confirmation code generated by Sitex (only for exams written at HEC Montréal) and the students who have not submitted a file electronically.

The separator files generated by Sitex provide information on students and courses; these files are especially useful when students fail to label their exams properly.

The Zip archive looks like this:

+  Returning corrected mid-term exams to students

Once you have finished correcting exams, submit the corrected versions through Sitex.

+  Additional details

Corrected mid-term exams are returned to students via Sitex. Sitex sends students an e-mail message containing a URL, which they click in order to view and download their corrected mid-term exam.


a) Create a Zip file containing the corrected files.

b) Go to www.hec.ca/sitex (click on English version)

c) After typing your ID number and password (the same ones you use to log in to HEC en ligne), click Transmettre les examens corrigés (Send corrected exams).

d) Move to the next screen, where the various sections (course groups) are listed, including the exams submitted by students via Sitex. Simply click the section of your choice.
                                                   

e) Click Browse and select, from the Save location, the Zip file containing the corrected electronic files to be returned to students.



f) Once the Send File window opens, select the Zip file to be sent from your Save location, and click Open.
Once the Zip file has been selected, click the Transférer aux étudiants (Send to Students)  button at the bottom of the page.
The Zip file containing the corrected electronic files is thus submitted to Sitex. Also, the number of files (excluding the separators) submitted to date for the course in question will be displayed..



A message is simultaneously sent to students at their HEC Montréal e-mail address stating that they now have access to their corrected exam files. An example of this message is shown below.



g) If you wish, you may submit further zipped folders by clicking Transmettre un autre examen corrigé (Send another corrected exam) . For verification purposes, you may also view a list of the corrected exams just submitted by clicking Cliquez ici (Click here) .

In the event that you inadvertently submit the wrong Zip file, refer to the question What should I do if I submitted the wrong files via Sitex?

Once you return to the corrected exam submission screen by clicking Transmettre un autre examen corrigé (Send another corrected exam) ), you will see, opposite the section for which you have just submitted corrected exams, a symbol indicating that the corrected exams have been submitted..

 


+  Submitting corrected final exams to the Office of the Registrar

Submit corrected files to the Office of the Registrar via Sitex.

+  Additional details

Submit corrected files to the Office of the Registrar via Sitex.

a) Create a Zip file containing the corrected files.

b) Go to www.hec.ca/sitex (click on English version)

c) After typing your ID number and password (the same ones you use to log in to HEC en ligne), click Transmettre les examens corrigés (Send corrected exams) .

d) Move to the next screen, where the various sections (course groups) are listed, including the exams submitted by students via Sitex.
Next, simply click the section of your choice.

e) Click Browse  and select, from the Save location, the Zip file containing the corrected electronic files to be submitted to the Office of the Registrar.

f) Once the Send File window opens, select the Zip file to be sent from your Save location, and click Open.
Once the Zip file has been selected, click the Transférer au Registrariat (Send to the Office of the Registrar)  button at the bottom of the page..

A message is sent simultaneously to students at their HEC Montréal e-mail address, stating that they can view their corrected files during the final exam review period specified in the academic calendar. An example of this message is given below.

+  Creating a zip file

You will need a file compression program like WinZip.

+  Creating a zipped folder using WinZip

a) Launch WinZip. Click the Wizard button located at the top-right of the window.



b) The WinZip Wizard welcome screen will appear. Click Next.



c) Select the Create a new Zip file radio button and click Next.



d) Name the file and click Next. By default, the file will be saved in your computer’s My Documents folder



e) If a folder containing the corrected electronic notebooks and/or attachments already exists, click Add folders. After selecting the Save location from the Add folders window, click OK.

If the electronic notebooks and/or attachments are not located in a folder, click Add files and add each file separately from the Add file window. Click OK..

Click Zip Now. The zipped folder has just been created.

+  What to do if I submit the wrong corrected to Sitex

If you submit the wrong Zip files, you can correct the error by clicking Oops! I submitted the wrong Zip file!

+  Additional details

This procedure erases all corrected files from this section. Confirmation that the Zip file has been deleted is provided in the next screen, as shown in the following screen capture.

You can then submit a new Zip file by clicking Browse before selecting a new file in the Send file window. Then click Open and Transférer aux étudiants/au Registrariat (Send to students/to the Office of the Registrar).

+  When and how students can view their final exams

Students may view their corrected exams online through Sitex during the final exam viewing period specified in the academic calendar.

  • If you have submitted the corrected files to the Office of the Registrar via Sitex
  • If the grades are available through HEC en ligne.

+  Downloading an attachment

In the event that teachers lose an e-mail message generated automatically by Sitex, and they wish to download an electronic attachment or correct a take-home exam, they must follow the procedure described below.

  • Go to www.hec.ca/sitex (click on English version). The Authentication page will open in your Web browser. 


    After typing your ID number and password (the same ones you use to log in to HEC en ligne), click Ouverture de la session  (Open session).
  • Select the term, followed by the applicable course code.
  • Click the Télécharger (Download) link opposite the exam (or exam section) to be downloaded.
  • The download window will open; click Enregistrer (Save) to download the Zip file to your computer.

+  Particular case of Sitex take-home exams

+  What is a Sitex take-home exam?

A Sitex take-home is an exam written at home, at the end of which students submit their exam file(s) through Sitex to be corrected electronically by their teacher.

The date and time of Sitex take-home exams must be posted on HEC en ligne.

    Teachers are responsible for notifying their students of the instructions for submitting files through Sitex.

+  Additional details

All Sitex exams require that a date, start time and end time be specified in PeopleSoft, even if students are to sit their exams at home, because Sitex will get the information it needs from PeopleSoft.

If no exam date has yet been specified in PeopleSoft (HEC en ligne), the secretary must write to registraire.examen@hec.ca to have the exam added; the duration of the exam must be specified. The date of the exam will be set by the Office of the Registrar.

There are two types of Sitex take-home exams:

  • Sitex take-home : Students use Sitex from home to submit their exam; no room at HEC Montréal is reserved for the exam.
  • Sitex-Room take-home: Students use Sitex from home to submit their exam, AND a room at HEC Montréal is reserved for those students who prefer to sit the exam at the school. No invigilators are present..

+  Preparing a Sitex take-home exam

Notify your secretary promptly, as he or she needs to complete the form entitled Renseignements et modalités pour examen in HEC en ligne.

+  Additional information for the secretary

For the question « L’examen sera ? » (The exam will be?)

  • Select Écrit à domicile (Written at home) if no room needs to be reserved, or
  • Select Écrit à l’école et à domicile (Written at HEC Montréal and at home) ) if a room needs to be reserved for students who prefer to sit their exam at HEC Montréal, albeit without an invigilator.

For the question « L’examen sera surveillé par le ? » (The exam will be invigilated by?):

  • Select professeur/aucune (teacher/none)

For the question « L’examen sera écrit sur : » (The exam will be written on:)

  • Select Cahier électronique envoyé par Sitex (The exam will be written on:)
  • and select the correction ÉLECTRONIQUE (ELECTRONIC correction) checkbox

   Teachers are responsible for notifying their students of the instructions for submitting files through Sitex.

+  What correction method may be requested?

By default, take-home exams are corrected electronically. Teachers who prefer to correct on paper must print the students’ answers themselves.

+  May an exam folder be requested?

In the case where teachers want to print students’ exams and need an exam folder to put them in for submission to the Office of the Registrar, the secretary must check the options shown below on the form entitled Renseignements et modalités pour examens.

• For the question « L’examen sera surveillé par le ? » (The exam will be invigilated by ?)

  • Select Professeur/Aucune ; (teacher/none)
  • Select the pochette à préparer. (prepare folder) checkbox

• For the question « L’examen sera écrit sur : » (The exam will be written on:)

  • Select Cahier électronique envoyé par Sitex (Electronic notebook sent by Sitex)
  • and select the case correction PAPIER (PAPER correction) checkbox.

• The secretary must write to registraire.examen@hec.ca to find out where and when to collect the prepared folder.

+  Downloading student's files

To download students’ files, teachers need to open a Sitex session.

+  Additional details

In the case of take-home exams, you will not receive any e-mail messages generated automatically by Sitex. To download students’ answer files, you will need to open a Sitex session.

+  Do corrected exams need to be submitted to the Office of the Registrar?

Yes. If the take-home is a final exam, corrected exams need to be submitted to the Office of the Registrar via Sitex.

+  Additional details

Because Sitex take-home exams require a date and time in PeopleSoft, they are considered to be final exams insofar as all other exam-related processes are concerned: the course appears in the late correction report and the teacher evaluation envelope is withheld as long as the corrected exams are not submitted to the Office of the Registrar. Moreover, exams must be archived, and students have the right to view their corrected exams.

Sauvegarde des fichiers sur votre ordinateur

A. Inscrire votre nom, votre matricule, le numéro de répertoire et le numéro de section dans l’en-tête de chaque fichier.

B. Inscrire le numéro de répertoire, de section et votre nom dans le nom de chaque fichier.
    exemple : 2-100-00A_A01_JTremblay.docx

C. Vérifier que la sélection du papier correspond bien au format lettre et non A4.
    (Onglet Mise en page - Taille – sélectionner Lettre US et non pas format A4, cliquer sur le bouton «par défaut» et répondre Oui).

D. Sauvegarder votre fichier de façon à le repérer facilement.

Avant le transfert,  assurez-vous que : 

  • votre nom, votre matricule, le numéro de répertoire et le numéro de section sont bien inscrits dans l’en-tête et le nom de chaque fichier
  • la mise en page est en format LETTRE
  • la zone d’impression est établie correctement en faisant un « aperçu avant impression »
  • la taille du fichier ne dépasse pas 5Mo

 

Transfert des fichiers de réponse à l'examen


A. Aller à l’adresse www.hec.ca/sitex

B. Suivre les directives à l’écran (il est important de choisir le bon numéro de répertoire)

C. Sélectionner le ou les fichiers que vous avez sauvegardés

D. Transférer en cliquant sur le bouton Transférer

E. Reporter le numéro de confirmation transmis par le système Sitex sur la page de garde de votre questionnaire d’examen, puis remettre le questionnaire d’examen au surveillant.

Ce numéro sert de validation pour le transfert de votre examen, il est donc de votre responsabilité de l'inscrire sur ce document.  Vous êtes invité à conserver une copie de ce numéro pour des validations ultérieures.

Sitex envoie un courriel de confirmation à votre adresse HEC contenant le fichier transféré.
Si un problème survient, aviser un surveillant afin que vous déposiez votre document sur la clé USB de l’équipe de la surveillance des examens.

IMPORTANT : Il faut conserver sur votre ordinateur sans l’ouvrir, le fichier contenant les réponses à votre examen et ce, jusqu’à ce que vous ayez obtenu votre résultat.

Saving files on your computer

A. Place your name, student number, group number and course code in the page header.

B. Add course code, group number and your name to the document name.
     Ex : 52-701-02_A01_JTremblay.docx

C. Check that the "Paper" size is set to Letter and not A4.
    (Select File, Page Set-up, Paper: choose Letter and not A4, click “Default” and answer “Yes”.

D. Save the file with a name that makes it easy to identify. 

Before submitting your file(s), check that:

  • Your name, student number, group number and course code are on the page header and document name
  • The "Paper" size is Letter
  • The print area is set correctly by seleting Print Preview int the File menu
  • The file size does not exceed 5MB


Sending an exam (file)


A. Go to www.hec.ca/sitex.

B. Follow the instructions on the screen.

C. Select the file(s) that you have saved.

D. Send them by clicking the Send button.

E.  Write the confirmation number provided by Sitex on the cover page of your exam questionnaire and submit it to the invigilator.

This number is used to validate the exam once submitted. You are therefore responsible for writing this number on the document. You are encouraged to take note of this number for subsequent validations.

Sitex will send to your HEC Montréal e-mail address a confirmation message containing the file you submitted.
In case of a problem, inform an invigilator so that you can submit your document on the invigilation team’s USB key. 

IMPORTANT : You must save the file containing the answers to your exam on your computer, but without opening the file, until you receive your grade.
